Live Events Production Manager

Our client is seeking a highly skilled and experienced Live Events Production Manager to join their team. This role is a critical position that requires exceptional leadership, organizational, and problem-solving skills to oversee the planning, execution, and successful delivery of live events. The ideal candidate will have a strong background in live event production, logistics, and team coordination to ensure seamless execution while maintaining budget, scope, and timeline.
Key Responsibilities:
Event Planning & Execution:
Oversee all aspects of live event production from initial planning to post-event wrap-up.
Develop, manage, and implement project timelines, budgets, and resource allocation strategies to ensure successful event delivery.
Work closely with clients to understand their vision, objectives, and requirements, translating their needs into executable event plans.
Coordinate with internal departments, including creative, technical production, logistics, and operations, to ensure all aspects of the event are meticulously planned and executed.
Conduct site visits and venue inspections to assess feasibility, layout, and logistical considerations.
Project & Team Management:
Lead cross-functional teams, providing clear direction, expectations, and support to ensure efficiency and collaboration.
Establish and manage workflows, assigning tasks and responsibilities to team members, contractors, and vendors as needed.
Maintain strong communication with stakeholders, providing regular updates, addressing concerns, and ensuring alignment throughout the planning process.
Monitor and evaluate team performance, providing coaching and feedback to enhance productivity and effectiveness.
Client & Vendor Relations:
Act as the primary point of contact for clients, ensuring exceptional service and satisfaction from concept development through event execution.
Liaise with vendors, suppliers, and partners to secure necessary equipment, services, and resources within budget constraints.
Negotiate contracts, review agreements, and ensure compliance with all logistical and operational requirements.
Cultivate and maintain strong relationships with industry professionals, venues, and service providers to optimize event execution and future collaborations.
Risk Management & Problem-Solving:
Identify potential risks and challenges in event execution, proactively developing solutions to mitigate issues before they arise.
Troubleshoot and resolve on-site challenges quickly and effectively, ensuring minimal impact on event operations.
Ensure compliance with all local regulations, permits, and safety protocols to guarantee a smooth and legally compliant event experience.
Manage crisis situations with professionalism and a solutions-oriented mindset.
Technical & Production Support:
Provide technical guidance and expertise to clients and team members throughout the event planning and execution process.
Oversee audiovisual requirements, staging, lighting, and other production elements to ensure flawless event execution.
Work closely with production teams to coordinate set-up, rehearsals, show execution, and breakdown.
Ensure all technical and logistical elements meet the highest standards of quality and performance.
Reporting & Post-Event Evaluation:
Prepare comprehensive event documentation, including project plans, schedules, budget reports, and post-event evaluations.
Gather client and stakeholder feedback to assess event success and identify areas for improvement.
Implement lessons learned from past events to continuously improve future productions.
Qualifications & Requirements:
Proven experience in live event production or project management within the event industry.
Strong leadership and team management skills, with experience overseeing cross-functional teams.
Exceptional organizational and multitasking abilities, with the ability to handle multiple projects simultaneously.
Excellent communication and interpersonal skills, with the ability to build strong relationships with clients, vendors, and team members.
Technical knowledge of event production elements, including AV, staging, lighting, and logistics.
Proficiency in budgeting and financial management, ensuring cost-effective event execution.
Strong problem-solving and decision-making skills, especially in high-pressure situations.
Ability to travel within New Jersey and surrounding areas as needed for site visits and event execution.
Knowledge of local regulations, permits, and compliance standards related to event production.
